Landlord Ally (“we,” “us,” or “our”) is a maintenance communication and organization tool for independent landlords and their tenants. This policy explains what information we collect, how we use it, who we share it with, how long we keep it, and how you can delete it.
Landlord information we collect
- Account details: your name, email address, password (stored only as a secure hash), profile photo, and optional company name, business phone and business address.
- Notification preferences: notification email and phone number, and your email, SMS, emergency and weekly-summary toggles.
- Property and unit information: property addresses, nicknames, unit labels, unit counts, occupancy, status, photos and notes you add.
- Contractor records: contractor names, trades, phone numbers, email addresses and notes you enter.
- Billing information: subscription plan, status, trial and renewal dates, and payment identifiers returned by our payment processor. We never see or store full card numbers.
Tenant information we collect
- Contact and tenancy details: name, phone number, email address, assigned property and unit, and lease end date, entered by the landlord or by the tenant during signup.
- Maintenance requests: the issue description, category, urgency and priority, status changes, timestamps and completion dates.
- Conversations: messages exchanged with Ally, with the landlord, and over SMS, including inbound replies.
- Photos and media: images uploaded in the tenant portal or sent as MMS attachments, stored in access-controlled storage.
- SMS records: phone number, message content, delivery status, error codes, and opt-in / opt-out events with their source and timestamp.
- Usage data: basic technical logs used to keep the service reliable and secure.
How we use this information
- To create and maintain landlord and tenant accounts.
- To collect, organize and route maintenance requests, photos and conversations between a tenant and their landlord.
- To generate Ally's factual request summaries, service category and priority labels from what the tenant reported and any attached photos.
- To detect and highlight reported safety concerns (for example gas, fire or flooding keywords) so the landlord sees them prominently.
- To send status updates and maintenance notifications by email, and by SMS only to recipients who have affirmatively opted in.
- To process subscriptions, trials and payments.
- To respond to support requests and to secure, debug and improve the service.
We do not sell personal information, and we do not use tenant maintenance content for advertising.
Photos and conversation content
Photos are stored in a private storage bucket and are viewable through short-lived, signed links. A photo attached to a maintenance request is visible to the tenant who submitted it and to the landlord who owns the property. Conversations and Ally summaries are visible to those same parties. Private landlord notes are visible only to the landlord.
SMS communications
Phone numbers collected through Landlord Ally are used to send SMS notifications only when the recipient has affirmatively opted in through the separate, unchecked-by-default SMS consent checkbox. SMS consent is optional and is never a condition of creating an account, using Landlord Ally, or submitting a maintenance request. We do not send marketing text messages.
Message frequency varies based on account activity and the number of maintenance conversations in progress.
Message and data rates may apply. Check with your wireless carrier if you are unsure about your plan.
Reply STOP at any time to unsubscribe, or HELP for help. Opting out stops SMS delivery; the request still appears in the portal.
Mobile information is not shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as the messaging provider below, is permitted. All other use-case categories exclude text messaging originator opt-in data and consent.
Third-party services we use
- Payments: Stripe processes subscriptions and card details. Card data goes directly to Stripe; we receive only status and identifiers.
- Messaging: Twilio delivers SMS and MMS and returns delivery status. Twilio receives the recipient phone number and message content.
- Hosting, database, authentication and storage: our application host and managed cloud backend store account data, requests, conversations and photos.
- AI: OpenAI processes maintenance conversation text and attached photos to produce Ally's replies and factual summaries.
- Email: our email provider delivers account, support and notification email.
These providers act as service providers under confidentiality and security obligations and may only use the data to perform their service for us.
Data security
Data is encrypted in transit, access to records is restricted per account by row-level security rules, and photo storage is private by default. No system is perfectly secure, so please use a strong, unique password and keep your credentials private.
Data retention
- Account, property, unit, tenant and contractor records are kept for as long as your account is active.
- Maintenance requests, conversations, photos, timeline events and Ally summaries are retained as your maintenance history so they remain available in the History section.
- SMS delivery and consent records are retained as proof of opt-in and opt-out while the account is active and for a reasonable period afterwards where required by messaging and telecom rules.
- Billing and invoice records are retained by our payment processor as required by tax and accounting law.
Account deletion and your choices
You can review and change your account information, notification preferences and password at any time in Settings. You can cancel your subscription from the billing area.
You can delete your account from Settings → Account → Delete account. Deleting your account permanently removes your login, profile, properties, units, tenant records, maintenance requests, conversations, photos, notes, contractors and SMS logs from the live service. This cannot be undone. Limited records may persist in backups for a short rotation window, and billing records held by our payment processor are retained as required by law.
Tenants who want their data removed can ask their landlord to delete their tenant record and requests, or contact us at support@landlordally.app.
Children's privacy
Landlord Ally is not intended for anyone under 18, and we do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. We will change the “last updated” date above, and continued use of the service after an update constitutes acceptance.
